Project & Office Manager

PROJECT & OFFICE MANAGER

We’re looking for an experienced Project Manager to help our growing team. In this role, you will coordinate the development and implementation of email marketing, SMS and other strategies and initiatives for our clients, and our company. You will also be responsible for ensuring projects are delivered on time and on budget according to the approved scope of work. We use Asana and Slack so proficiency in those tools is essential.

Responsibilities
Office Management

  • Create standard operating procedures (SOP’s) for all processes
  • Process payroll via Wise and manage
  • Manage all company tools, e.g., Asana, Slack, Hubstaff
  • Implement social media posts
  • Pull data from CSV files into Excel files for monthly agency performance reporting

Project Management

  • Cultivate strong relationships with the internal team and serve as a knowledgeable and trusted advisor

  • Q/A all deliverables to ensure they are error-free
  • Be a reliable contact point for any information required by the internal team

  • Drive the day-to-day management of projects, ensuring that work is delivered on time, on budget, and on Brief
  • Articulate client needs and works collaboratively with cross-functional teams, keeping a keen eye on the details to ensure accurate execution of all projects
  • Facilitate meetings, manage agendas, capture/disseminate notes with clear action items
  • Serve as the first point of escalation for all client-related issues for assigned clients and make decisions that act in the best interest of the agency and our clients
  • Take fiscal responsibility including estimating, billing, change orders and SOW review and approval for assigned accounts
  • Ensures best project management practices are in place to maximize the Project Management team’s performance
  • Identify opportunities for process improvement and efficiencies and make constructive suggestions for change

Qualifications

  • Preferred, but not required bachelor’s degree with an emphasis in advertising, marketing, or related field
  • 5+ years of professional experience in an agency setting (preferably in a client-services, account management, or project management role).
  • 3+ years’ experience using Asana and Slack
  • Proficient with Canva, small graphics, PowerPoint, Excel and all Google Suite applications
  • Experience in digital and understanding of marketing strategies. Also, you are analytical, process oriented and crave creating structure out of chaos – all necessary requirements for a successful project manager

Responsibilities

  • Convert written material – such as marketing emails, campaigns, communications to and from ecommerce clients and more – from one or more ‘source languages’ into the ‘target language’, making sure that the translated version conveys the meaning of the original as clearly as possible. The target language is normally your mother tongue.
  • Liaise with clients and KDP team to discuss any unclear points
  • Proofread and edit final translated versions
